Acceptable Use Policy
What Bikabo may and may not be used for.
This policy forms part of our Terms of Service. It applies to everyone who uses a Bikabo workspace, including team members and clients invited into one. The business that owns the workspace is responsible for the conduct of everyone it invites.
1. Unlawful use
Do not use Bikabo to break the law, or to plan, coordinate or record activity that does. That includes using it to organise work that is illegal where it is performed, and using it to conceal such activity.
2. Fraud and misrepresentation
Do not use Bikabo to deceive. In particular, do not create fabricated invoices, payment records, agreements or work history intended to mislead a client, a lender, an auditor, a tax authority or anybody else.
Bikabo preserves financial history deliberately, and the audit trail records who did what. Using the product to manufacture a false record is a breach of this policy and the record of having done it will still exist.
3. Infringement
Do not upload, store or distribute material you do not have the right to use, including copyrighted work, trade marks and confidential information belonging to somebody else.
4. Malware and harmful content
Do not upload or transmit viruses, malware, or anything designed to damage, interfere with or gain unauthorised access to any system, whether ours, a client’s or a third party’s.
5. Abusive access
Do not attempt to reach data you have not been given access to. That includes another workspace’s data, another user’s records, and anything behind an authorisation check.
- No probing, scanning or penetration testing of our infrastructure without our written permission.
- No attempts to circumvent authentication, authorisation, rate limits or usage limits.
- No automated access that places an unreasonable load on the service.
- No scraping the service or extracting data other than your own.
If you believe you have found a security problem, tell us. Our security page explains where to send it. Reporting responsibly is welcome; exploiting a finding is not.
6. Impersonation
Do not present yourself as somebody else, inside the product or in anything sent through it. Do not send messages or invoices designed to appear to come from a business or person you are not authorised to represent.
7. Spam and unsolicited messaging
Do not use Bikabo’s messaging, notification or email features to send unsolicited bulk communication. Invitations, notifications and invoices sent through Bikabo are for people who have a genuine relationship with your business.
Do not invite people to a workspace or a client portal who have not agreed to be involved with your business.
8. Credentials
Do not share sign-in credentials between people. Each person who needs access should have their own account.
Bikabo allows sensitive access details to be recorded against work, encrypted and revealed only to those authorised. Do not use that feature to store credentials you were not given permission to hold, and do not use credentials stored in the product for anything beyond what their owner authorised. Every reveal is recorded.
9. Privacy of others
Do not record personal data about clients, staff or third parties beyond what the work genuinely requires, and do not use Bikabo to monitor people in ways they have not been told about.
If you record personal data belonging to other people, you are responsible for having a lawful basis to do so and for meeting your own obligations to them.
10. Prohibited activities
Bikabo may not be used to operate or administer:
- Any business whose primary activity is unlawful where it operates.
- Sexual services involving coercion or minors, in any circumstances.
- Distribution of weapons, controlled substances or stolen goods, where doing so is unlawful.
- Schemes whose returns depend on recruiting further participants.
- Services designed to conceal the origin of funds.
This list is not exhaustive. Where the position is unclear, ask us before you build your operation on the product.
11. Export controls and sanctions
Do not use Bikabo in violation of applicable export control or economic sanctions laws, and do not make it available to anyone barred from receiving it under those laws. This includes use in or for the benefit of a country or region subject to comprehensive sanctions, and use by anyone on a restricted-party list maintained by a relevant authority.
12. Enforcement
Where we believe this policy has been breached we may investigate, ask you to resolve it, restrict specific functionality, suspend access, or terminate the agreement. What we do will be proportionate to what happened.
Where circumstances allow, we will contact the workspace Owner first and give an opportunity to put things right. Where there is an immediate risk to other users, to a third party or to the service, we may act first and explain afterwards.
We may be required to report certain activity to the relevant authorities, and we may preserve records in connection with an investigation.
13. Reporting a problem
If you believe somebody is using Bikabo in breach of this policy, tell us. If it is a security vulnerability, our security page explains where to send it. For anything else, use the contact details below.
